How to Cancel Athlete/Volunteer Enrollment?

There may be reasons to remove a member from your sport club session:

  • The member leaves part-way through the season because they moved, are no longer interested, etc.
  • A volunteer has changed roles during the session
  • The member was included in a session duplication but isn’t returning for the new season
  • The member was added in error

To remove a member from a club or community council

Select Active Enrollment tab from your role menu, Data Administrator / Head Coach/Team Manager

 

Open the Active Enrollment of member to be Cancelled

In Active Enrollments Window, Search for Participant or Volunteer from three dots or by scrolling down.

Click Edit button beside the name of Participant/Volunteer to open the Enrollment Detail window

In Enrollment Detail window select appropriate Status and End Date

Member Cancelled

  • The member leaves part-way through the season because they moved, are no longer interested, etc.
  • A volunteer has changed roles during the session

The portal lead will “Change Status” to “Member Cancelled” and indicate the date this happened as the End Date.

The member’s profile will reflect their involvement from the start date of the session until the date they were no longer involved, or no longer involved in that role.

Delete

  • The member was included in a session duplication but isn’t returning for the new season
  • The member was added in error

The portal lead will “Change Status” to “Delete” and indicate today’s date as the End Date.

The system will deleted member enrollment within a week’s time. 

By not indicating an end date, the member will not be removed until the end of the session

Program Cancelled

  • Program Session is Cancelled part-way through the session due to various reason like Funding, Venue issues , Lack of Coaches/Participants or Gov’t Restriction

The portal lead will “Change Status” to “Program Cancelled” and indicate the date this happened as the End Date.

The member’s profile will reflect their involvement from the start date of the session until the date program was Cancelled.

After all appropriate updates, Submit to save the changes
