    Could we please request this be added.   The meaning would be that it is no longer offered as a choice for enrollment, but that the data availability be the same as active.   Offering a club for enrollment when the website already says that a club is closed for new enrollments is already confusing.

    From our 2019 DAT minutes:

    “This new portal has great capacity.  Strong suggestion would be to create a new session before the old expires as opposed to changing dates on old sessions – start thinking about summer session, create to 2020.  If you have more than 50 athletes, reach out to Farkhanda to duplicate current registry.  Community leaders and head coaches can add sessions. Think flow of seasons.  A few challenges and glitches that are being worked out. ”

    So which is it?

    Thanks very much for this update.   In the fall it was recommended that we use the early bird date to allow managers to enter enrollments before the date of the first practice.   As the Start Date is no longer defined as the first practice I do need clarification.

    After the Early Bird date and before the start date a manager can access enrollments once the session is marked as active.   Will the club then be available for online self-enrollment at that time?

    Is it possible to have a session marked as ‘Closed’ so that it is unavailable for self-enrollment, but still available to club managers for enrollment?

    A we have now been advised to start the next session before the end of the last session I am trying to understand how to best set up the summer sessions, as they will not expire at the end of their season in order to have them still in existence when the new season starts.

    I have never updated the end date so not surprised.   btw, I am subscribed to “Weekly Tips for Community Admins’ whoever do not receive and email when a new thread is added.   Could this please be addressed as the information posted may be important!

    I add that I will still not be checking off the contacted fields for references that I have not contacted unless a field is added to identify the person who did the contacting.   If a club is not able to do this them selves I will advise them to contact SOO to confirm contact.

    I do not believe they have been using any forms. As the paper form is no longer accepted it is not really being used. Half the time the volunteer will say they have volunteered before but it turns out they are not registered.     The TM gives up pretty quickly leaving the ghosts.

    The process is not so complicated for those of us used to this kind of thing, but that does not include many of our older TM.   It has been a bit of a process getting them on board.   Some who trying gave up totally when Portal 2.0 came out broken.   Still working on it.

    Farkhanda, I said I am working on forms to give to my managers so I do not understand this statement:

    I need more info on why new volunteers records created by Team Managers are empty if they have volunteer paper forms?

    Thanks for the confirmation regarding waivers.

    The other part of the question was looking for confirmation that I have all fields covered that a manager would need to submit the enrollment.

    As for how they are being created I expect that some of our managers make an attempt and as soon as they get confused they back out unaware that they have left a record.   The same can happen with a possible new volunteer  who finds navigating the whole thing not worth their time.   When I see them if there is nothing more then the name and maybe the club I discard it and contact the club or the volunteer (if there was an email) to offer guidance.   If their venue has decent wi-fi I may show up and walk them through.

    I am developing the form to reduce the number of these ghosts.   Please confirm that the required list is correct:

    Required: First Name, Last Name, Sex, Date of Birth (month spelled out), Email address, Phone numbers (indicate home or mobile), Primary Address (Street. City, Postal Code),  Two personal references and their contact information.

    There has been a change!   When I go to see the list of references provided for a new volunteer there are two new columns for ‘Contacted’ and ‘Date Contacted’.   Saves a few clicks.  When I go into a reference as data admin or team manager those two fields are no longer grayed out.  Thanks!

    Ah thanks.   Not surprised I missed it, my hearing is not great and I cannot allways understand what is being said.   Do you know if there is a recording I could access to review the information?

    Thanks for the breakdown, it is useful.   We had a person step forward as volunteer coordinator who did the job briefly.   Unfortunately  he subsequently quit without telling anybody.   When we realized that nobody had responded to about 2-3 months worth of applications we did our best to follow up but not surprisingly many had lost interest.   Another volunteer stepped forward but in the end the portal defeated her so I am attempting to manage submitted registrations through to  enrollment.  I have also been working quite hard to make sure every club has SOMEBODY who can do the basics on the portal.   The club I was referring to earlier has had particular challenges so I have been working with them.

    I have a question.   It looks like the fields for marking a volunteer check completed, and the date of completion seem to be grayed out, I know at one point I had been able to complete these fields.    I am assuming that this is towards the ‘streamlining ‘ of the process that you previously mentioned?   In the mean time I am telling clubs to follow up on references then send an email to Pratima and Farkhanda, cc’ing myself when that is done.   Anything else I should be telling them?
