Community Registrar

The Community Registrar, also known as the Data Administrator, plays a crucial role in maintaining and updating all community records on the database. This position ensures that athlete and coach registrations are accurately inputted by seasonal deadlines and that all verification reports are prepared. Key responsibilities include working with the Volunteer Coordinator, updating the database, and producing requested reports for the community council and coaches.

Main Responsibilities

  • Ensure all new registration forms are completed correctly and sent to the Database Administrator with the proper documentation.
  • Distribute all sport verification reports to Head Coaches or Sport Club Managers at the beginning of their season.
  • Update the database with any changes to members’ records.
  • Ensure all team verifications are updated on the database by the season registration deadline (SOO Policy 7000-15).
  • Work with the community council on athlete sport registrations and ensure all information collected through the registration process is correctly entered into the database.
  • Collaborate with the Database Administrator to ensure proper procedures are followed regarding community members’ records.
  • Produce reports as requested by the community council or coaches.
  • Pass on all files to the new registrar upon vacating the position.
  • Review and be familiar with sections 1, 6, 7, 8, 9, 13, and 18 of the information portal.
  • Maintain the Special Olympics email address provided.
  • Assist with in-person registrations where needed.

Annual Responsibilities

  • Maintain and update community records on the database consistently.
  • Distribute verification reports to Head Coaches or Sport Club Managers at the start of each season.
  • Ensure all team and member updates are accurately reflected in the database by registration deadlines.
  • Support the community council with athlete sport registrations and data entry.
  • Produce necessary reports for community activities and planning.
  • Coordinate with the Database Administrator to ensure compliance with procedures and policies.
  • Facilitate the smooth transition of duties to the new registrar when vacating the position.
  • Assist with registration events and ensure data accuracy.
