al community resources for our valued Community Council members. This centralized community resource hub serves as your go-to repository for securely saving, organizing, and easily accessing essential documents and materials. Whether you are storing event planning guides, athlete development resources, governance documents, or marketing collateral, our Google Drive ensures that you have the tools necessary to effectively support our athletes and advance our mission of inclusion through sports. Based on Community Council roles, folders can be set up or created to help save and store resources with restricted access.Â

Resources:Â
- Event & Competition Planning Resources: Detailed guides, templates, and checklists to help you plan and execute successful local events, from fundraisers to competitions. This is where hosts and planners should be saving and storing their resources, contacts, schedules, etc for sharing and legacy purposes.Â
- Marketing & Communication Outreach Tools: Community promotional materials such as poster, flyers, signage templates, artwork and perhaps photos for graphic uses, etc. If communities have volunteers that help with PR and communications, contact lists, fundraising/marketing decks, templates for donation and fundraising letters can be stored in the Community Google Drive. Communication roles should have media contacts and releases saved in the Drive as well. Community logos are all saved in the Drive as well.Â
- Community Governance and Policies: Stay updated with community governance documents such as the Community Operating Guidelines (COG). Many communities personalize their COG which should be saved in their Community Google Drive. This ensures that it is held in a place that is accessible for all members as a document that upholds compliance and integrity of our organization.Â
- Community Council Meetings: Important documents and minutes from all meeting should be saved here including agendas, disciplinary measures, Incident reports, etc. Having a folder for meetings is very helpful for legacy purposes and for information gathering. Secretary roles should ensure that all minutes from meetings are saved in the Drive.Â
- Community Programming: All community sport related resources and materials should go into the Drive so that coaches have access. Permits should be saved in the Drive as well so that it is also accessible for all council members and coaches. Community contacts for teams, Â
- Financial Management: Resources to assist with budgeting, fundraising strategies, and financial reporting to maintain transparency and accountability. Treasurers should save their financial reports in the Drive.Â
- Website & Social Media: Accounts and passwords should be saved in the Drive. All communities have a Website folder. This is where the template for the community website is held and for accessibility for members to make updates to the community website. Â

How to Navigate the Google DriveÂ

- You MUST have a Special Olympics Ontario (SOO) email in order to access your Community Google Drive. Please work with your District Program Consultant in setting up an appropriate email for your volunteer role. Access to specific folders are based on community roles.Â
- Login Access: https://drive.google.com/Â Â
- Folders and Subfolders: Organized by categories such as Website, Meeting Minutes, Marketing Resources, Financials, Facilities, Fundraising, Competitions, Community Operating Guidelines, Logos, etc. New folders and subfolders can be created as well with specific access given based on community roles.Â
- Search Function: Use keywords to quickly find specific documents or resources related to your current needs or task.Â
- Updates and Notifications: Stay informed about new resources, updates to existing documents, and upcoming events through regular notifications that can be set up for specific folders.Â
