COMMUNITY REGISTRAR (DATA ADMINSTRATOR) ROLE DESCRIPTIONÂ

PurposeÂ
To update and maintain all community records on the database. This includes preparing all verification reports and ensuring athlete and coach registrations are inputted by all seasonal deadlines.Â

QualificationsÂ
- Computer skillsÂ
- Self-directed and good organization skillÂ
- Access to a computer with high speed internetÂ
 Â
Duties and ResponsibilitiesÂ
- Work with Volunteer Coordinator to ensure all new registration forms are completed correctly and sent in to the Database Administrator with the proper documentation.Â
- Distribute all sport verification reports to all Head Coaches or Sport Club Managers at the beginning of their season.Â
- Update the database with any changes to members’ records.Â
- Ensure all team verifications have been updated on to the database by the season registration deadline (SOO Policy 7000-15).Â
- Work with the community council on the athlete sport registrations and ensure all information collected through the registration process has been correctly entered into the database.Â
- Work with Database Administrator to ensure the proper procedures have been followed in regards to your communities members’ records.Â
- Produce any reports your community council or coaches request.Â
- Upon vacating the position all files etc. must be passed on to the new registrar.Â
- Review and be familiar with sections 1,6,7,8,9,13 and 18 of the information portal.Â
- Maintain Special Olympics e-mail address that is provided to you if applicableÂ
- May need to help with in-person registrations where needed.Â

Time RequirementsÂ
Five to ten hours per month is the estimated time commitment. Time commitment may increase based on beginning of sport seasons.Â

Duration of PositionÂ
Two-year term or as per Community by-laws.Â
 Â
AccountabilityÂ
- To work in cooperation with the Community Council and with the membership.Â
- To work with the Database Administrator to ensure all proper processes are being followed.Â

Orientation and TrainingÂ
Orientation and training is available through the outgoing registrar and/or a Provincial Staff Representative.Â
