Session Duplication Request – What info to provide to SOO Office & what community needs to update on New Session

Community has to provide:

Club Full Name & Sport

  1. Session Start Date
  2. Session End Date

to duplicate session for big clubs by DBA

Scenarios:

  1. New Session will have Active enrollments from the last session if duplication is done before Old Session expiration (Cancelled or expired enrollments will stay with last session). If someone joins form last session, that has to be added manually by Data Admin. If some Active enrollment quits, that has to be cancelled manually also.
  2. New Session will have Cancelled Enrollments (with Active Status) from last session if duplication is done after Old Session expiration (Expired enrollments will stay with last session). If someone joins form last session, that has to be added to new session manually by Data Admin. If some Active enrollment quits, that also has to be cancelled manually by community admin.

Updates Required by Community Admins

  • Session Status – New Session will have Status – New – Community has to change it to Active.
  • Session Schedule & Facility – New Session will have Session Schedule & Facility form last Session. If New Session will have different Facility, Date & Time – Community has to update this info.

Note: Member enrollments Start & End Dates for this session will be same as of Club Session Start & End Dates. Session and enrollments will expire on same date. IF community changed session start or end date for whatever reason, it will not reflect on member enrollments start & end dates. Community has to manually update enrollments date so that session and enrollments get expired on same date.
